Aux Talent is partnering with a Boston-based Private Family Office to find a Gift & Bill Pay Coordinator to support a highly sophisticated, multi-entity financial and administrative operation. This role sits at the center of day-to-day cash management, gifting administration, vendor coordination, and trust-related support for high-net-worth individuals and family entities.
Typical duties (but are not limited to): Client Bill Pay & Cash Management, Vendor & Account Coordination, Annual Exclusion Gifting Administration, Trust & Tax Support, Payroll & Checking Account Administration, Cash Flow Reconciliation, Charitable Gift Coordination, Tuition, Insurance & Real Estate Payment Management, Excel-Based Tracking & Reporting, Research & Resolution of Uncashed Checks, Annual Assent Process Coordination and Ad Hoc Trust
Requirements: 5–10 years of experience in bookkeeping, accounts payable, family office operations (a big plus!), gifting administration, or related financial support functions, Exceptional attention to detail and accuracy, Advanced proficiency in Excel and comfort learning new technologies, Demonstrated discretion handling highly confidential financial and personal information, Strong communication and interpersonal skills across clients, vendors, and internal stakeholders, Ability to manage multiple priorities and deadlines independently, Collaborative and service-oriented mindset with strong judgment and critical thinking skills. Trust accounting, tax exposure, family office experience, and Peachtree/Sage experience are all considered strong pluses.
Schedule: In office 4 days/week, WFH 1 day/week
Pay: 100-150K base + benefits
